Connect Zoom to host virtual and hybrid events

Overview

KNMI Events integrates with Zoom to provide seamless virtual and hybrid event experiences. With this integration, you can automatically generate Zoom meetings for your events and share meeting links with attendees through confirmation emails.

Adding the Zoom Integration

  1. Navigate to Settings → Organization Settings in your admin dashboard
  2. Scroll down to the Video Conferencing Integrations section
  3. Click the "Connect Zoom" button
  4. You'll be redirected to Zoom's authorization page
  5. Sign in to your Zoom account (or create one if needed)
  6. Review the permissions requested and click "Allow"
  7. You'll be redirected back to KNMI Events with Zoom connected

Permissions Required

KNMI Events requests permission to create and manage meetings on your behalf. We do not access your personal Zoom data or recordings.

Using Zoom for Your Events

Creating Virtual/Hybrid Events

  1. Go to Event Details in your admin dashboard
  2. Under Event Format, select "Virtual" or "Hybrid"
  3. Click the "Generate Zoom Meeting" button
  4. A Zoom meeting will be created automatically with your event details
  5. The meeting link will be saved and included in attendee confirmation emails

What Attendees Receive

  • Zoom meeting link in their ticket confirmation email
  • Meeting passcode (if enabled)
  • Event date and time with timezone
  • One-click join button in their participant dashboard

Meeting Settings

Meetings are created with the following default settings:

  • Waiting room enabled for security
  • Host and co-host controls enabled
  • Meeting passcode auto-generated
  • Participant video off by default (can join with video)

Removing the Zoom Integration

  1. Navigate to Settings → Organization Settings
  2. Find the Video Conferencing Integrations section
  3. Click "Disconnect" next to your connected Zoom account
  4. Confirm the disconnection when prompted

Important Notes

  • Existing meetings will not be deleted from your Zoom account
  • Meeting links already sent to attendees will still work
  • You won't be able to generate new meetings until you reconnect

Revoking Access from Zoom

To fully revoke KNMI Events access to your Zoom account:

  1. Log in to Zoom Marketplace
  2. Go to Manage → Installed Apps
  3. Find "KNMI Events" and click Uninstall

Troubleshooting

Connection Failed

If the connection fails, ensure you're logged into the correct Zoom account and have admin permissions. Try clearing your browser cache and attempting again.

Meeting Generation Failed

If meeting generation fails, check that your Zoom account has the necessary permissions to create meetings. Free Zoom accounts have meeting duration limits.

Token Expired

If you see a "token expired" error, disconnect and reconnect your Zoom account to refresh the authorization.
